1. General Terms

• HBS Travel LLC (Identification Number: 404786656) is a licensed travel agency operating in Georgia
• All services are subject to availability at the time of booking
• Prices may change without prior notice until booking is confirmed
• We reserve the right to refuse service to anyone for any lawful reason
• These terms constitute a legally binding agreement between you and HBS Travel LLC

2. Booking Process

2.1 Making a Booking

• All prices are quoted in US Dollars (USD) unless otherwise specified
• Prices include all services specified in the package description
• Bookings are confirmed only after full or deposit payment is received
• A confirmation email will be sent with booking details, reference number, and payment receipt
• It is your responsibility to ensure all information provided is accurate
• Any errors must be reported immediately for correction
• We reserve the right to refuse bookings if payment verification fails

2.2 Payment Terms & Methods

• Deposit Payment: A minimum deposit of 30% is required at the time of booking to secure your reservation
• Full Payment: The remaining balance must be paid at least 14 days before your travel date
• Late Bookings: For bookings made less than 14 days before departure, full payment is required immediately
• Payment Processing: Currently, all payments are processed via secure bank transfer. We are implementing online payment processing through PCI DSS compliant payment gateways for added convenience.
• Payment Confirmation: You will receive a payment confirmation email within 24 hours of successful payment
• Currency: Prices are quoted in USD. Bank transfer details will be provided in USD. Exchange rates and bank fees may apply.
• No Hidden Fees: The quoted price includes all specified services. Additional costs (if any) are clearly stated
• Payment Instructions: Detailed banking information and payment instructions will be sent upon booking confirmation
• Overdue Payments: Failure to make payment by the due date may result in booking cancellation without refund of any deposits paid

• Official invoices will be issued for all payments received

• Payment receipts are sent via email immediately after successful payment

3. Client Responsibilities

3.1 Travel Documents

• Ensure you have valid passports with at least 6 months validity
• Obtain necessary visas and permits before travel
• Carry required health certificates and vaccination records
• HBS TRAVEL is not responsible for denied entry due to invalid documents

3.2 Travel Insurance

• Travel insurance is strongly recommended for all bookings
• Insurance should cover medical expenses, trip cancellation, and lost baggage
• HBS TRAVEL is not liable for losses that could have been covered by insurance

3.3 Conduct

• Respect local laws, customs, and regulations
• Follow instructions from tour guides and service providers
• Inappropriate behavior may result in removal from tours without refund

4. Agency Responsibilities

4.1 Service Provision

• Provide accurate and up-to-date service descriptions
• Coordinate with hotels, airlines, and tour operators on your behalf
• Offer customer support during business hours
• Provide emergency contact information for assistance during travel

4.2 Service Standards

• Ensure services meet the standards described at time of booking
• Address complaints and concerns in a timely manner
• Maintain confidentiality of your personal information

5. Changes and Cancellations

5.1 Changes by Client

• Changes to confirmed bookings may incur fees from suppliers
• We will make reasonable efforts to accommodate change requests
• Changes are subject to availability and may affect pricing

5.3 Changes by HBS TRAVEL

• We reserve the right to cancel or modify bookings due to circumstances beyond our control
• You will be notified immediately of any significant changes
• Alternative arrangements or full refund will be offered

6. Liability and Limitations

6.1 Third-Party Services

• HBS TRAVEL acts as an intermediary for hotels, airlines, and tour operators
• We are not liable for delays, cancellations, or poor service by third parties
• Claims regarding third-party services should be directed to the provider

6.2 Force Majeure

• Not liable for events beyond our control (natural disasters, strikes, war, terrorism, pandemics)
• No refunds for services already rendered before such events
• We will assist in making alternative arrangements where possible

6.3 Personal Belongings

• HBS TRAVEL is not responsible for loss, theft, or damage to personal belongings
• Keep valuables secure and use hotel safes where available
• Report losses to local authorities and obtain police reports for insurance claims

6.4 Health and Safety

• Clients are responsible for ensuring they are medically fit to travel
• Inform us of any medical conditions or dietary requirements in advance
• Follow safety instructions during activities and excursions

7. Pricing

• All prices are quoted in US Dollars (USD) unless otherwise stated
• Prices include services as described in the itinerary
• Additional costs (visas, insurance, optional activities) are not included unless specified
• Prices may be adjusted for currency fluctuations or supplier cost increases

8. Complaints and Disputes

• Report any issues during your trip to our emergency contact immediately
• We will make reasonable efforts to resolve problems on-site
• Formal complaints must be submitted in writing within 14 days of return
• Include all relevant documentation (receipts, photos, correspondence)
• We will investigate and respond within 30 days

9. Data Protection

Your personal information is handled in accordance with our Privacy Policy. By booking with us, you consent to the collection and use of your data as described.

10. Intellectual Property

• All website content (text, images, logos) is owned by HBS TRAVEL
• Unauthorized use, reproduction, or distribution is prohibited
• Photos and reviews may be used for promotional purposes unless you opt out

11. Governing Law

These Terms and Conditions are governed by the laws of Georgia. Any disputes arising from these terms or your booking will be subject to the exclusive jurisdiction of Georgian courts.

12. Amendments

HBS Travel LLC reserves the right to modify these Terms and Conditions at any time. Changes will be posted on our website with an updated "Last Updated" date. Continued use of our services after changes constitutes acceptance of the modified terms.
